Schedule TBD Boutique Hours open Tues-Fri 9:30 a.m. – 5:00 p.m. & one Saturday shift 9:30 a.m– 5:30 p.m
Hourly Range: $21.50-25.00/hour, Non-Exempt

Reporting to the Program Manager, the Bilingual Administrative Assistant is a key member of the team providing logistical support, office management and data management for the YWCA’s Bloom Program. They are responsible for all aspects of coordinating a busy office, providing administrative support for the program, and maintaining complex client information and files. The Bilingual Administrative Assistant coordinates the daily efforts to operate the client dressing program within the Client Boutique, including scheduling and operational logistics, and is the “first responder” to many client and volunteer needs – whether they walk in the door or call on the phone or reach out by email looking for assistance. Responsibilities include and are not limited to:

  • Connect with referred clients with rapidity to meet their scheduling and dressing needs, and remind clients of their appointment times
  • Answers a multi-line phone system and properly route incoming calls in a professional and helpful manner
  • Greets and welcomes clients & volunteers to the office and ensure they receive assistance specific to their needs
  • Manage the effective and high-quality collection and maintenance of client referral data
  • Create, distribute and maintain monthly sign-ups for volunteers, matching volunteer availability to clients’ dressing needs.

We are seeking an organized and reliable individual to bring a collaborative and positive attitude to the operation. The ideal candidate will have excellent communication and customer service skills and can adapt to shifting priorities within an office setting. Candidates must have at least 2 years or more experience handling all aspects of managing a busy office. Essential to this role is a demonstrated ability working directly with the public and proficiency with use of technology, specifically Microsoft Office, Zoom and web-based platforms. Bilingual, bi-cultural and bi-literate skills in Spanish are required.

Required: Cleared background check (fingerprinting), valid TB test, valid California driver’s license, and auto insurance. In-person role, 30 hours/week. Prolonged periods of standing, bending, kneeling and ability to lift up to 30 pounds. This position requires a Covid-19 vaccination due to the in-person interfacing required, and to promote the health and safety of others in the workplace and our community. Candidate must be in a drivable distance to Fourth Street office in San Rafael as that will be their primary location.
